How Planimal processes, secures and stores personal data of visitors, salons and end customers.
1. Who applies this policy
This privacy policy explains how Planimal processes personal data through the website, demo requests, contact requests and the software platform for grooming salons. For privacy questions you can email info@planimal.pro.
Depending on the context, Planimal acts either as controller or as processor. For visitor, lead and direct customer data, Planimal generally acts as controller. For customer data that a grooming salon stores and manages in Planimal, Planimal generally acts as processor on behalf of that salon.
2. Which personal data we process
We may process names, email addresses, phone numbers, salon names, billing details, communication content, account details, usage data, language preferences and technical data such as IP addresses, browser information and log data.
When a grooming salon uses the platform, data about end customers and their animals may also be stored in the system, such as contact details, appointments, notes, history, preferences and profile information. Health or care notes are only processed to the extent the salon enters them and has a valid legal basis for doing so.
3. Why we use this data
We use personal data to provide the website and software, create and manage accounts, follow up demo and contact requests, enable appointments and customer communication, handle billing and support, protect the security of the platform and improve our services.
We do not use personal data to make solely automated decisions with legal or similarly significant effects on people without human involvement.
4. Legal bases
Depending on the purpose, processing relies on one or more of these legal bases: performance of a contract, legitimate interests, consent, or compliance with a legal obligation. Where consent is required, we ask for it separately and it can later be withdrawn.
5. Sharing with third parties
We only share personal data where necessary for our services or where we are legally required to do so. This may include hosting and infrastructure providers, email and support services, payment providers, analytics and security services, and professional advisers.
Where required, we put appropriate data processing agreements in place with parties that process personal data on our behalf. We do not sell personal data to third parties.

If personal data is processed outside the European Economic Area, we do so only with appropriate safeguards, such as an adequacy decision or approved contractual protection mechanisms.
7. Retention periods
We do not keep personal data longer than necessary for the purpose for which it was collected, unless a longer period is required for legal, tax, accounting or evidentiary reasons. We retain contact requests and support traffic for as long as reasonably necessary for follow-up and record keeping. We retain account and billing data during the contractual relationship and afterwards for as long as required by law.
Data stored by salons in the platform is retained in line with that salon’s instructions and the agreements that apply to the relevant account.
8. Security
We take reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure. These measures include access controls, logging, secure connections and supplier and access management.
9. Cookies and similar technologies
The website uses functional technology, for example to remember your language preference. We also use third-party measurement and support services, such as Google Analytics and Tawk, to understand website usage and provide chat support. These parties may process technical data such as IP address, browser information and interaction data.
Where legally required, we ask for prior consent for non-essential cookies or similar technologies.
10. Your rights
Within the limits of applicable privacy law, you may ask for access, rectification, erasure, restriction of processing, portability or object to certain processing. You may also withdraw consent where processing is based on consent.
For data that a grooming salon manages in Planimal, you will usually need to contact that salon first, because it is generally the controller in that context.
11. Complaints
If you believe we are handling your personal data improperly, we encourage you to contact us first via info@planimal.pro so we can investigate. You also have the right to lodge a complaint with the competent supervisory authority, for example the Belgian Data Protection Authority.
12. Changes to this policy
